  • Overview

    The Demo Coordinator is responsible for the overall management of the global inventory of demonstration equipment. The Demo Coordinator will maintain an itemized inventory of equipment and schedule its allocation in response to requests from Sales & Marketing in support of customer demonstrations and exhibitions. The Demo Coordinator will work closely with colleagues in Logistics, Compliance, Sales as well as international freight forwarders and customs brokers to ensure equipment is shipped and returned as scheduled.   The Demo Coordinator will work with colleagues in the Product Line to maintain the accuracy of the inventory through annual audits and updates through mid-year additions and disposal of equipment.


    This role is expected to allow sufficient time for the successful candidate to perform additional duties including Marketing assistant responsibilities.



    • Receive and acknowledge all incoming demo requests and confirm or suggest alternatives in a timely manner.
    • Schedule demo equipment for deployment to customers or exhibitions.
    • Inspect equipment upon its return, at a level of completeness, cleanliness, operability
    • Track the current location of all assets at all times.
    • Follow up with requestors to initiate the timely return of equipment and publish a weekly list of overdue equipment.
    • Prepare and submit Carnet applications.
    • Pack and unpack equipment, with physical assistance from designated colleagues as required.
    • Recommend and implement improvements to the Demo Management process in close collaboration with related departments.
    • Conduct semi-annual physical audits of demo to confirm the accuracy of inventory lists.
    • Recommend and prepare Purchase Requisitions for acquiring and repairing demo equipment. Maintaining the inventory of branded apparel
    • Maintaining the inventory of trade show display items (banners, booth hardware, mannequins)
    • Occasionally operate a forklift to extract/replace pallets in a warehouse (professional training will be provided as needed)
    • Assist with preparations for photoshoots and video-shoots, such as scheduling people / service providers / locations / equipment / props / etc.
    • Other supporting-type responsibilities as required.


    • A minimum of two years of administrative experience in a fast-paced environment.
    • Ability to adapt and react quickly to rapidly changing situations.
    • Ability to work independently but within a team environment.
    • Attention to detail and strong abilities to manage multiple tasks concurrently.
    • Strong organizational skills and the ability to prioritize, plan and make decisions.
    • Excellent customer service communication skills.
    • Strong abilities to write in a clear and succinct manner.
    • Experience in using Microsoft Office with emphasis on Excel and Outlook.
    • Experience working with international logistics carriers and FedEx customer software would be a definite asset.
    • Current or previous experience operating a forklift would be a definite asset.
    • Ability to speak languages beyond English would be a definite asset.
